Job Duties (Include but not limited to):
- Manager of 25+ Patient Access Representatives and 4 Med Record Clerks Building 1-6. Managing Call-ins, phone calls/texts/emails from staff, rounding each area daily, and corrective action/process improvements.
- Oversee placement for each front office position—recruit, interview process, and new hires
- Fill in as needed for check in, checkout, registration, switchboard and scheduling
- Responding to emails and EMR messages timely
- Create monthly opening/closing schedule for each area
- Paycom timekeeping, process PTO requests and payroll for all PARs/Med Records
- Monthly collection report
- Manage, train, and understand all clerical positions for all areas.
- Monitor provider schedules. Contact for providers and staff questions regarding schedules.
- Handles non-clinical related patient complaints and concerns while working to increase overall patient’s satisfaction and engagements.
- Daily mail—dispersing EOBs to billing office
- Work closely with billing office—send EOBs and overpayments to them
- Responsibility for the day to day functions of patient and office flow
- Establishes and implements policies and procedures related to patient access flows.
- Works with all managers to ensure smooth flow of communication and consistently throughout the clinic.
- Attend meetings with managers, billing, and Womens Care as needed.
- Conduct meetings, 1:1, huddles with staff
- Create training materials—manuals, handouts, and cheat sheets and other training tools to enhance employee skills.
- Yearly update Safety Data Sheets
- Coordinating Drug Rep lunches building 6
- Process Care Credit payments
- Accounts payable—forwarding invoices to AP at WC, file invoices and receipts, submit reimbursements for payment, credit card reconciliation
- Accounts Receivable—lab corp invoices, rent and utilities
- Assist Tonyia with IT support as needed—phones, computers, copiers, printers
- Run audits on phone logs—UC Suite.
- Work closely with AP vendors and AP at WC.
- Must go through Women’s Care Leadership 3 day online training
- Other duties and responsibilities as deemed necessary by Director of Practice Operations
Qualifications We Are Looking For:
- College degree preferred but will also consider relevant work experience
- Supervisory experience preferred but will also consider work experience with proven leadership qualities, good communication, and team building and organization skills.
- Ability to multi-task in a stressful deadline oriented environment
- Ability to use or learn computer programs such as Microsoft office, paradigm, EMR, word, excel, paycom, outlook, availity, Medicaid website, care credit, uspay
- Ability to develop and maintain positive working relationships with providers, staff, and patients.
- Relevant understanding of patient access responsilbities and/or willingness to learn
